What Do I Need to Know About Set Up & Take Down?

We usually set up the marquee on the Wednesday or Thursday before your event and take it down on the Sunday. Depending on availability, this could be extended to Monday for a fee if you wish – please enquire for pricing.

Scheduling

  • Set up – Usually Wednesday or Thursday before your event
  • Take down – Usually Sunday (can be extended to Monday for a fee, subject to availability)
  • Your preferences – Please let us know if you have a preference at the time of booking or if your venue requires particular dates
  • Please note – We can't guarantee certain set up and take down days unless otherwise agreed prior to booking

Before We Arrive

Please ensure the grass on site has been cut short and collected – it will make a huge difference, both under foot and for the photos – and is very hard to do once the marquee is up! To ensure the best ground conditions and prevent delays in the build, we ask that all holes are filled in or levelled off, there are no obstacles, and that there are no fires in the area in the two months prior to ensure time for the grass to re-grow.

Set Up Day Timeline

8am – 9am: Team Arrival

Our team will arrive on site. Ideally, you, a parent or a planner will be there to approve the final site position and discuss the build process. If no one can be there, we will position the marquee according to the plan created. Please note variations may apply if the ground isn't suitable – any changes will be at the discretion of the site manager.

Early Afternoon: Marquee & Floor Complete

We would expect the marquee to be up and the floor down by early afternoon.

Mid Afternoon: Extras Arrive

Furniture, loos and generator typically arrive mid afternoon.

Late Afternoon: Completion & Handover

We aim to be completed by late afternoon. Please ensure you are on site again for the all important handover – we'll teach you how to turn the generator on and off, open doors/walls, lift and lower flower rings, etc.

Please note: Although we aim to complete on the day, we will, if required, return the next day – so it is important to ensure you are happy with the set up and nothing is missing.

The Handover

The handover is a crucial part of the set up process. We'll show you:

  • Generator operation – How to turn it on and off
  • Doors and walls – How to open and close them
  • Flower rings – How to lift and lower them
  • Lighting – How to control the internal lights
  • Any other equipment – Anything specific to your set up

Set Up Checklist

  • Grass cut short and collected
  • Holes filled in or levelled
  • No obstacles in the area
  • No fires in the area for 2 months prior
  • Someone available for team arrival (8-9am)
  • Someone available for handover (late afternoon)

Take Down Checklist

  • All crockery cleared away
  • All bottles removed
  • All decorations taken down
  • Personal items collected
  • Cleaning completed before 8-10am
  • Clear access for our team

Take Down Day

  • Start time – We usually start take down between 8am – 10am
  • Clearing up – Please make sure there is a cleaning process in place to clear away any crockery, bottles, decorations etc the morning after the wedding day (or on the last day of use) prior to our arrival
  • Ready to go – We need to be able to start taking the tent down immediately on arrival
Extended hire: If you would like to extend the take down to Monday, this may be possible for an additional fee, subject to availability. Please enquire for pricing.
